PAYMENT

Your deposit is due at booking.. Your dates are not confirmed until the deposit is received

• Booking six months or more before arrival: 25% of the rental is due at booking. It is non-refundable, it holds your dates and it locks your rate. A further 25% is due six months before arrival, and the balance 30 days before arrival.
• Booking between 30 days and six months before arrival: 50% of the total is due at booking, and the balance 30 days before arrival.
• Booking inside 30 days of arrival: the full amount is due at booking.

We'll send a friendly reminder well in advance, so nothing should sneak up on you.

• We accept all major credit and debit cards, bank transfer (ACH), or Zelle
• Bank transfer (ACH) and Zelle take 2.5% off your nightly rate, applied before tax. The discount applies to the rental only, not to the cleaning fee, pet fee or add-ons.
• A refundable security deposit of 15% is collected the day before arrival and returned after checkout.
• If balance is not received by the due date we reserve the right to cancel the booking and retain the deposit

CANCELLATION POLICY

We get it. Life happens. Here's how it works.

For bookings made more than six months in advance, 25% of your rental total is non-refundable. It holds your dates and locks in the rate you were quoted, because once your dates are yours we stop offering them to anyone else. The refunds below apply to everything you've paid beyond that amount.

• 30 or more days before arrival: full refund, minus a $200 processing fee
• 21 to 29 days: 50% refund
• Under 21 days: no refund

DATE CHANGES

• Need to move your date? Let us know 90 or more days before arrival and we'll move your booking once at no charge, subject to availability. Your deposit comes with you.
• Rates for the new dates are the ones you were originally quoted, unless the new dates fall in a higher-priced season, in which case the seasonal difference applies. Any further change, or a change requested fewer than 90 days out, is treated as a cancellation.
  

SECURITY DEPOSIT

A security deposit of 15% of your total booking value is collected 1 day prior to arrival. It's fully refundable within 7 business days of checkout, pending a property inspection. We take good care of this place and ask that you do too. The deposit simply protects both of us.

Deductions may apply for:

• Damages beyond normal wear and tear
• Excessive cleaning
• Missing items
• Policy violations

We're honest, fair people and we mean that. If any deductions are necessary we'll communicate clearly, explain exactly what happened, and never nickel and dime anyone over normal use of the property. We just want to make sure this special place stays special for everyone who comes after you.

CHECK-IN & CHECK-OUT

No rigid check-in times, no rushing out by a certain hour. Apache Oaks runs on your schedule, not ours. Just let us know your arrival and departure plans in advance so we can make sure everything is ready for you.

MINIMUM STAY

•  2 nights minimum (3 strongly recommended, trust us on this one)

MAXIMUM OCCUPANCY

The property sleeps up to 25 guests across Oak House, Cochise Hideout, and Lozen Bunk House. Additional guests may be accommodated via tent camping or RV parking for an additional fee, with prior approval. Day guests for celebrations and gatherings are welcome with prior notice and must be disclosed at booking.

Exceeding the agreed occupancy without prior approval may result in forfeiture of the security deposit. We're not trying to be the fun police. We just need to keep things manageable for everyone.

NOISE & QUIET HOURS

You're on 25 acres in the oak grasslands, and sound carries further than you'd think. We love our neighbors and want to keep it that way, so quiet hours are 10pm to 8am. Celebration bookings get a little extra runway. Quiet hours extend to midnight for those special nights. Music and amplified sound are welcome before quiet hours within reason. Please be respectful of the natural environment, the wildlife, and the magic of the place itself.

No fireworks. Ever.

PETS

We love animals. We live with some ourselves. Pets are welcome with a one-time fee of $50 per pet and prior approval. Please keep them off the furniture, don't leave them unconfined in the buildings, and keep them out of the bathhouse. With 25 acres to roam they'll be happy, just be mindful of local wildlife and keep them leashed when wandering the land. Clean up after them on the property and surrounding trails. All non-dog pets require prior approval. Please disclose your furry travel companions at the time of booking.

SMOKING

No smoking inside any buildings, full stop. Smoking is permitted outdoors in designated areas only. Please fully extinguish and dispose of all materials responsibly. We're in the high desert and fire safety is something we take seriously! Violations are subject to security deposit deductions.

FIRES

The fire pit is one of the best things about Apache Oaks. Use it and enjoy it. Open fires outside the designated fire pit area are not permitted. Please fully extinguish all fires before turning in for the night. During fire restrictions or burn bans, fire pit use may be restricted. We'll communicate this in advance when relevant. Violations are subject to security deposit deductions.

VEHICLES & PARKING

 Park in designated areas only. RV parking is available with prior arrangement. Please no ATVs or off-road vehicles on the property without prior approval.

ALCOHOL & SUBSTANCES

Guests are welcome to bring their own wine, beer, and spirits for personal enjoyment during their stay. Apache Oaks does not provide or sell alcohol. Please drink responsibly. This is a place for making good memories, not regrettable ones.

The use of illegal substances on the property is not permitted. Apache Oaks is a private property and we reserve the right to ask guests who violate this policy to vacate without refund. We trust our guests to come here in the right spirit, and we ask that you honor that trust.

CATERING & KITCHEN

Apache Oaks is a self-catering property. We don't provide food or beverage service. What we do provide is a fully equipped commercial kitchen ready for your use. You're welcome to self-cater or bring in your own caterer. Please leave the kitchen clean and tidy after use. Dishes washed, surfaces wiped down, and food properly stored or disposed of. Local vendor resources and a preferred caterer list are available upon request.

PROPERTY CARE & CHECKOUT

Apache Oaks is a full-service property, not a full-service staff. We ask that all guests leave the property the way they found it:

• Dishes washed and put away
• Trash bagged and placed in the designated area
• Personal belongings removed
• Shared spaces left tidy and in good order

Leave it like you'd leave a good friend's home. Excessive cleaning beyond normal wear and tear may be deducted from the security deposit.

WATER CONSERVATION

Apache Oaks runs on a well. Which is part of what makes this property possible, and part of what we ask our guests to be mindful of. We're not asking anyone to skip showers (we promise, the bathhouse is wonderful), just to be thoughtful. Quick showers, turning off the tap when you're not using it, and being mindful with dishwashing go a long way. Use what you need, not what you don't. The land thanks you.

WILDLIFE & NATURE

Apache Oaks borders national forest and sits in one of the most biodiverse regions in North America. Please do not feed or approach wildlife, keep food properly secured, and leave no trace on the land and surrounding trails. The oaks, the birds, the deer, the wide open sky — they were here long before us. Let's keep it that way.

GATHERINGS

The property is rented exclusively to one group at a time. Please do not sublet or share access with outside guests beyond what was agreed at booking. All booking types — including celebrations, reunions, and group getaways — must be accurately described at the time of booking so we can ensure the right fit. Day guests are welcome with prior notice and within reasonable numbers. Additional overnight guests beyond the agreed capacity require prior approval.

RIGHT TO REFUSE & REMOVAL

Apache Oaks is a private property and we reserve the right to decline or cancel bookings that do not align with our policies or the spirit of what this place is about. Guests who cause damage, violate policies, or significantly disrupt the property or its natural environment may be asked to vacate without refund. We don't want to use this policy. Please be good stewards of the land. But we just want to be clear about where we stand.
